System Integration & API Development

Connect the ERP, CRM, e-commerce, accounting, HR, payment and messaging systems you already run, with reliable sync, clear error handling and monitoring.

What is system integration?

System integration connects the separate applications a business runs, such as ERP, CRM, e-commerce, accounting, HR, payments and messaging, so data moves between them automatically and accurately. Co-Mate designs the data flows, builds APIs, webhooks and middleware, and adds error handling and monitoring, so records are entered once and every system stays in sync.

System integration is part of Co-Mate's digital transformation services, and the same engineering discipline behind our e-invoicing integration work: precise mapping, validation, retries and an audit trail.

Who this is for

Who needs system integration?

Any company running several good systems that do not talk to each other, where people have become the integration layer.

Typical buyers

  • CTOs and IT managers responsible for a growing application landscape
  • Finance heads tired of re-keying orders and invoices
  • E-commerce and operations leads syncing stock and orders across channels
  • Software vendors who need connectors to their customers' systems

Signs you need it

  • The same order, customer or invoice is typed into two or three systems.
  • Stock levels differ between your online store and your ERP.
  • Month-end involves exporting, cleaning and importing CSV files.
  • An existing integration fails silently and someone finds out days later.
  • A key system has no API, so nothing can connect to it.

What we build

What do we build?

The components behind reliable integrations, chosen per project.

ComponentPurpose
API connectorsClients for each system's REST, SOAP or GraphQL API, with authentication, rate limits and pagination handled.
Webhooks & event handlingReal-time reactions to events such as a new order, a paid invoice or an updated contact.
Middleware & mappingA central service that transforms and validates data between different structures and codes.
Scheduled syncBatch synchronisation for systems without real-time events, with change tracking to move only what changed.
Custom APIsNew APIs over systems that lack one, including legacy databases.
Error handling & replayQueues, retries, dead-letter queues and a screen to fix and replay failed records.
Monitoring & alertsDashboards and alerts on throughput, failures and latency, so issues are found before users notice.

Which integrations do we build most often?

Each of these has its own page with the data that flows, the usual problems and how we build it.

How do you decide which system is the source of truth?

Each data object gets exactly one owner system, and every other system receives copies. Most integration failures come from two systems both believing they own the same record.

Typical ownership looks like this: the CRM owns leads, contacts and opportunities; the ERP owns products, prices, stock, orders and invoices; the accounting system owns the ledger; the HRMS owns employees and attendance. Where two-way sync is genuinely needed, such as customer addresses edited in both CRM and ERP, we define field-level ownership and conflict rules up front and log every override.

How does an engagement work?

Five phases, each with a clear output you can review before the next one starts.

  1. 1

    Discovery

We list the systems, the data objects that should flow between them, the direction of each flow and who owns each record.

  2. 2

    Architecture & scope

You get an integration architecture: flows, mappings, sync method, error strategy, monitoring and hosting.

  3. 3

    Build in milestones

Flows are built and tested in sandboxes against real sample data, delivered one data object at a time.

  4. 4

    Launch

Initial data alignment, go-live per flow with close monitoring, and runbooks for your team.

  5. 5

    Support & scale

Monitoring, updates when connected systems change their APIs, and new flows as your landscape grows.

Which engagement model fits?

There are three ways to work with Co-Mate; the right one depends on how settled your scope is and how long the system will keep evolving.

ModelBest forHow it works
Fixed-scope projectA defined first version or a specific integration with clear requirements. We agree modules, milestones and acceptance criteria up front, then deliver against them. Changes are scoped and agreed before work starts.
Dedicated engineering teamLarger programmes, evolving roadmaps or several systems built in parallel.Senior engineers work as an extension of your team on your priorities, with sprint planning, demos and shared tooling.
Ongoing retainer / supportSystems already live that need maintenance, monitoring, hosting support and steady improvements.A reserved block of engineering time each month, with agreed response times for issues and a backlog of improvements.

A defined connection between two systems is a classic fixed-scope project. Because connected systems change their APIs over time, a monitoring and support retainer is strongly advised after go-live. Larger integration programmes suit a dedicated team.

Which systems do we integrate?

If it has an API, a database or a file export, we can integrate it. Common systems include:

  • SAP Business One
  • Microsoft Dynamics
  • NetSuite
  • Odoo
  • ERPNext
  • Salesforce
  • HubSpot
  • Zoho
  • Shopify
  • WooCommerce
  • Tally
  • QuickBooks
  • Xero
  • eSSL and ZKTeco
  • WhatsApp Business Platform
  • Payment gateways
  • E-invoicing ASPs and Peppol
  • n8n

Product names are used only to describe compatibility. They belong to their owners; Co-Mate is not affiliated with or endorsed by them.

Tech & infrastructure

Reliability

Idempotent processing, queues and retries so each record is processed exactly once, even after failures.

Security

Secrets in a vault, least-privilege API credentials, encrypted transport and audit logs of every sync.

Observability

Logs, metrics and alerts per flow, with a clear view of what synced, what failed and why.

Hosting

Cloud functions, containers or on-premise services, placed near the systems they connect.

Where do we work?

Anywhere. Co-Mate is a remote-first engineering studio in Kerala, India, delivering for businesses worldwide.

  • GCC

Our working day covers the whole GCC business morning and early afternoon.

  • Europe & UK

Strong overlap with European and UK working hours for calls, reviews and releases.

  • US & Americas

Scheduled overlap with US mornings for workshops, demos and decision meetings.

  • India, APAC & Australia

Same or near time zone, so day-to-day collaboration is simple.

Discovery workshops, demos and training run online. You talk directly to the senior engineers who design and build your system, not to an account manager relaying messages.
