Client and context
Echo Study Space is a co-learning and study space in Kozhikode (Calicut), Kerala. Members come in to study and work during the day, and the team needs to know who used the space and when, for memberships and day-to-day running. Echo Study Space has agreed to be named in this case study.
The challenge
Member attendance was tracked manually. That created the problems any membership space will recognise:
- No reliable record of visits. Manual entries were missed on busy days or written up later from memory.
- Time spent on admin. Staff recorded and checked attendance by hand instead of looking after members.
- Hard to answer simple questions. Confirming when a member last visited, or how often, meant searching through notes.
The space already used eSSL biometric devices at the entrance, but their data was not reaching the software the team worked in.
What we built
Co-Mate integrated the eSSL biometric attendance devices with the space’s software.
Biometric device integration. Check-ins captured by the eSSL devices are collected automatically by an integration layer, instead of being copied across by hand.
Attendance data flowing into the system. Each check-in is matched to the right member and stored in the space’s software as an attendance record, so the data the team works with is the data the device captured.
Records and reports for the team. Staff can see attendance records in the system and use them for reports, rather than maintaining a separate manual log.
Technology
The project uses eSSL biometric attendance devices at the space and an integration layer that collects check-in data from the devices and writes it into the space’s software. Outcome
Member attendance is now captured automatically and reliably, without manual entry. The team has a dependable record of member visits and spends less time on attendance admin. We describe the outcome qualitatively and do not publish figures.
