Add an AI Layer to Your Existing Software
Bring AI into the CRM, ERP, HRMS or custom application your team already uses: plain-language reporting, copilots, document extraction and AI agents, with your permissions and audit trail intact.
How do you add AI to software you already run?
Co-Mate adds an AI layer to the CRM, ERP, HRMS or custom application you already run, without replacing it. We connect through its API or database and add features such as plain-language reporting, in-screen copilots, document extraction and AI agents that act through your APIs, with your existing permissions, audit logs and cost controls enforced.

The AI layer is part of Co-Mate's digital transformation services. It is the fastest route to useful AI for most companies, because the hardest part, years of clean business data, already exists in the system you run.
Who this is for
Who is an AI layer for?
Companies with a system that works and holds years of valuable data, who want AI benefits now without a risky platform replacement.
Typical buyers
- CTOs and IT heads under pressure to "add AI" responsibly
- COOs and CFOs who wait days for reports from their own systems
- Product owners of in-house or vertical software
- Software vendors adding AI features for their customers
Signs you need it
- Managers ask IT for reports that the system could answer if it understood plain language.
- Staff retype data from PDFs, emails and invoices into your system every day.
- Your vendor's AI roadmap is vague, slow or a costly upgrade away.
- Staff are pasting company data into public AI tools because nothing official exists.
- You want AI assistants to use your system, but cannot give them open database access.
What we build
Which AI features can we add?
Each feature is independent, so you can start with the one that saves the most time and add the rest later.
| AI feature | What it does in your system |
|---|---|
| Ask your data | Managers type questions like "overdue invoices over 60 days by branch" and get an answer, table or chart from live data, with the query shown for transparency. |
| In-screen copilot | A side panel inside existing screens that summarises a customer, drafts a reply, explains a record or suggests the next step. |
| Document & invoice extraction | Reads PDFs, scans, emails and attachments and creates draft records in your system for a person to approve. |
| Summaries | Daily or weekly summaries of pipelines, tickets, exceptions or activity, sent to the right people. |
| Smart suggestions | Recommended products, prices, categories, assignees or follow-ups based on your historical data. |
| AI agents through your APIs | Agents that take permitted actions in your system on behalf of users. See AI agents and chatbots. |
| MCP server for your system | A secure Model Context Protocol server that exposes chosen read and write tools to approved AI assistants. |
How does the AI layer fit around your system?
The AI layer is a separate, secure service between your users, your system and the AI model. Your system does not change, and the model never gets unrestricted access to it.
- User request: a question or action starts from a screen, chat panel, WhatsApp or an AI assistant.
- Identity and permissions: the layer checks who is asking and what they are allowed to see or do in your system.
- Data access: it reads only the permitted data through your API, a read-only database view or an MCP tool.
- Model call: the minimum necessary context is sent to the chosen model, with sensitive fields masked.
- Checks and action: the result is validated; any write-back to your system goes through your API and may require confirmation.
- Logging: the request, data used, response and action are recorded.
What does an MCP server add?
An MCP server lets AI assistants your team already uses work with your system safely. Instead of copying data into a chat window, a user asks the assistant, and the assistant calls well-defined tools on your MCP server, such as "find customer", "get stock level" or "create follow-up task".
You decide exactly which tools exist, what each may read or change, and which users may use them. Every call is authenticated and logged. For software vendors, an MCP server is also a fast way to make your product usable by your customers' AI assistants.

How does an engagement work?
Five phases, each with a clear output you can review before the next one starts.
- 1
Discovery
We review your system, its data and APIs, and pick the AI features with the clearest time savings and lowest risk.
- 2
Architecture & scope
You get the integration architecture: data access path, permission model, model choice, hosting, logging and a usage cost plan.
- 3
Build in milestones
Features are built against a copy of your data and scored on accuracy before each milestone release.
- 4
Launch
Release to a pilot group, then the wider team, with usage and accuracy monitoring from day one.
- 5
Support & scale
New features, model updates as better options appear, and monthly reporting on usage and cost.
Which engagement model fits?
There are three ways to work with Co-Mate; the right one depends on how settled your scope is and how long the system will keep evolving.
| Model | Best for | How it works |
|---|---|---|
| Fixed-scope project | A defined first version or a specific integration with clear requirements. | We agree modules, milestones and acceptance criteria up front, then deliver against them. Changes are scoped and agreed before work starts. |
| Dedicated engineering team | Larger programmes, evolving roadmaps or several systems built in parallel. | Senior engineers work as an extension of your team on your priorities, with sprint planning, demos and shared tooling. |
| Ongoing retainer / support | Systems already live that need maintenance, monitoring, hosting support and steady improvements. | A reserved block of engineering time each month, with agreed response times for issues and a backlog of improvements. |
Adding a first AI feature is usually a fixed-scope project. Software vendors building AI into their own product often engage a dedicated team, and a retainer keeps models, prompts and evaluations current as AI moves quickly.
Which systems can we add AI to?
Any system we can reach through an API, a database connection or reliable exports. Where no API exists, we build one first, as in legacy system API integration.
- Custom and in-house applications
- Salesforce
- HubSpot
- Zoho CRM
- Odoo
- ERPNext
- SAP Business One
- Microsoft Dynamics
- NetSuite
- HRMS and payroll systems
- SQL Server, PostgreSQL, MySQL, Oracle
- OpenAI, Anthropic and open models

Tech & infrastructure
Privacy
Only the data each request needs is sent; sensitive fields can be masked; enterprise APIs or self-hosted models keep data out of training.
Role-based access
The AI uses each user's own permissions, so it can never reveal data the user could not already see.
Audit logs
Every question, data access, model response and action is recorded for review and compliance.
Cost control
Model routing, caching, prompt size limits and per-team quotas, with a monthly usage report.
Where do we work?
Anywhere. Co-Mate is a remote-first engineering studio in Kerala, India, delivering for businesses worldwide.
GCC
Our working day covers the whole GCC business morning and early afternoon.
Europe & UK
Strong overlap with European and UK working hours for calls, reviews and releases.
US & Americas
Scheduled overlap with US mornings for workshops, demos and decision meetings.
India, APAC & Australia
Same or near time zone, so day-to-day collaboration is simple.
Discovery workshops, demos and training run online. You talk directly to the senior engineers who design and build your system, not to an account manager relaying messages.
