WhatsApp Business Automation

A shared WhatsApp inbox for your team, instant answers from live inventory and sales data, lead and order flows, CRM sync and opt-in broadcasts, on the official WhatsApp Business Platform.

What is WhatsApp business automation?

WhatsApp business automation uses the official WhatsApp Business Platform to give your team a shared inbox, answer routine questions automatically from live inventory, order and sales data, capture leads and orders through guided flows, sync conversations with your CRM, and send opt-in broadcasts. Co-Mate builds and connects it to the systems you already run.

WhatsApp automation is part of Co-Mate's digital transformation services. We have built it in production: our WhatsApp sales inbox case study describes a shared inbox that answers customers from live inventory.

Who this is for

Who is WhatsApp automation for?

Businesses where WhatsApp is a primary sales or service channel, and volume has grown past what a few phones can handle.

Typical buyers

  • Retail, distribution and e-commerce businesses selling on WhatsApp
  • Service companies booking jobs and appointments by chat
  • Sales heads managing teams that use personal WhatsApp for customers
  • Customer service leaders in the GCC, India and other WhatsApp-first markets

Signs you need it

  • Customer chats live on staff phones, so you lose history when someone leaves.
  • Most messages ask the same things: price, availability, size, delivery, order status.
  • Replies slow down in the evening and on weekends, and customers move on.
  • Leads from WhatsApp never reach the CRM, so nobody can measure conversion.
  • Stock answers are sometimes wrong because they were checked hours ago.

What we build

What do we build on WhatsApp?

Everything runs on the official WhatsApp Business Platform, so your number is stable and compliant.

CapabilityWhat it does
Shared team inboxAll conversations in one web inbox, with assignment, labels, notes, hand-over and full history.
Live-data auto-repliesAnswers about products, stock, prices and order status from your inventory, ERP or e-commerce data, with AI where it helps.
Lead capture flowsGuided questions that qualify an enquiry and create a lead in your CRM with the right owner.
Order and booking flowsCatalogue browsing, order placement, appointment booking and payment links inside the chat.
CRM and ERP syncContacts, conversations, leads and orders kept in sync with your business systems.
NotificationsOrder confirmations, delivery updates, reminders and invoices sent using approved templates.
Broadcasts within policyOpt-in management, approved templates, segmentation and opt-out handling.
ReportingResponse times, volumes, conversion from chat to order, and team performance.

WhatsApp Business app or WhatsApp Business Platform?

The app is for one phone and a small team; the Business Platform is for teams, automation and integration.

How do you stay within WhatsApp's policies?

By building compliance into the system rather than relying on staff to remember the rules. WhatsApp protects its users strictly, and numbers that send unwanted messages get restricted.

  • Opt-in: customer consent is captured and stored before any outbound template message.
  • Templates: outbound messages outside the 24-hour customer service window use pre-approved templates.
  • Opt-out: "stop" requests are honoured automatically and the customer is excluded from future broadcasts.
  • Quality monitoring: we watch your number's quality rating and adjust frequency and content before problems occur.

How does an engagement work?

Five phases, each with a clear output you can review before the next one starts.

  1. 1

    Discovery

We review your message volumes, common questions, sales and service flows, and where the answers live.

  2. 2

    Architecture & scope

You get the flow design, data integration plan, inbox setup, AI scope and the Meta registration plan.

  3. 3

    Build in milestones

Inbox and flows go live first; live-data replies, CRM sync and AI follow in milestones.

  4. 4

    Launch

Number migration or registration, template approval, team training and a monitored launch.

  5. 5

    Support & scale

New flows, template updates, AI tuning and reporting as conversation volume grows.

Which engagement model fits?

There are three ways to work with Co-Mate; the right one depends on how settled your scope is and how long the system will keep evolving.

ModelBest forHow it works
Fixed-scope projectA defined first version or a specific integration with clear requirements. We agree modules, milestones and acceptance criteria up front, then deliver against them. Changes are scoped and agreed before work starts.
Dedicated engineering teamLarger programmes, evolving roadmaps or several systems built in parallel.Senior engineers work as an extension of your team on your priorities, with sprint planning, demos and shared tooling.
Ongoing retainer / supportSystems already live that need maintenance, monitoring, hosting support and steady improvements.A reserved block of engineering time each month, with agreed response times for issues and a backlog of improvements.

Most WhatsApp projects are a fixed-scope project for the inbox and core flows, followed by a light retainer for new flows, templates and AI tuning.

Tech & infrastructure

Official platform

Built on the WhatsApp Business Platform with webhooks, never on unofficial tools that risk your number.

Data accuracy

Replies read live data at the time of the question, not a copy from this morning.

Security

Role-based inbox access, encrypted storage of conversation history and audit logs.

Hosting

Cloud hosting in your preferred region, with queues and retries so no message is lost.

Where do we work?

Anywhere. Co-Mate is a remote-first engineering studio in Kerala, India, delivering for businesses worldwide.

  • GCC

Our working day covers the whole GCC business morning and early afternoon.

  • Europe & UK

Strong overlap with European and UK working hours for calls, reviews and releases.

  • US & Americas

Scheduled overlap with US mornings for workshops, demos and decision meetings.

  • India, APAC & Australia

Same or near time zone, so day-to-day collaboration is simple.

Discovery workshops, demos and training run online. You talk directly to the senior engineers who design and build your system, not to an account manager relaying messages.
