Integration · WhatsApp ↔ CRM
WhatsApp & CRM Integration (Zoho, HubSpot, Salesforce, Custom)
Every WhatsApp enquiry captured as a lead, every conversation logged on the right record, and approved templates sent from inside your CRM.
What does WhatsApp CRM integration do?
WhatsApp CRM integration connects the official WhatsApp Business Platform to Zoho CRM, HubSpot, Salesforce or a custom CRM, so every WhatsApp enquiry becomes a lead or contact automatically, conversations are logged on the right record, chats are routed to the owner, and salespeople send approved WhatsApp templates straight from the CRM.

This integration is part of Co-Mate's system integration services. It runs on the official WhatsApp Business Platform, never on unofficial tools that put your number at risk.
Who this is for
Who needs WhatsApp connected to their CRM?
Sales and service teams whose customers prefer WhatsApp, but whose CRM has no idea those conversations happen.
Typical buyers
- Sales directors who cannot measure WhatsApp-driven pipeline
- CRM administrators asked to "add WhatsApp"
- Customer service leads in WhatsApp-first markets
Signs you need it
- Leads arrive on WhatsApp but are entered into the CRM late or never.
- Salespeople use personal numbers and take conversations with them when they leave.
- Managers cannot see whether a WhatsApp lead was answered or followed up.
- Reporting shows web and email leads, but WhatsApp is invisible.
What we build
Which data flows between WhatsApp and the CRM?
The core flows, and the direction each one runs.
| Data | Direction and behaviour |
|---|---|
| New enquiries | WhatsApp → CRM. Unknown numbers create a lead or contact, with source and campaign captured. |
| Conversations | WhatsApp → CRM. Messages and media are logged as activities on the matching contact, lead or deal. |
| Ownership & routing | CRM → WhatsApp inbox. Chats route to the record owner, territory or team defined in the CRM. |
| Template messages | CRM → WhatsApp. Sent from a record or triggered by workflows such as stage changes or quotes. |
| Contact details | Two-way. Name, company and opt-in status kept consistent, with the CRM as the owner. |
| Opt-in and opt-out | Two-way. Consent stored in the CRM and enforced before any outbound template. |
What usually goes wrong with WhatsApp CRM integrations?
Most problems come from matching, consent and volume, not from the API calls themselves.
- Duplicate contacts: the same customer stored as +971 50…, 050… and 97150…. We normalise numbers to international format before matching.
- Noisy timelines: logging every "ok" and emoji as a separate activity buries useful history. We group messages into conversation threads.
- Missing consent: templates sent to customers who never opted in, which harms the number's quality rating. Consent is checked before every send.
- Rate limits: busy periods hit CRM API limits and silently drop updates. Queues and back-off prevent loss.
- Wrong owner: chats land with whoever replied first. Routing follows the CRM owner, territory or team.
Are there differences between Zoho, HubSpot and Salesforce?
Yes, in data model and limits rather than in what is possible. Each CRM structures leads, contacts and activities differently, so the mapping and the place conversations are stored differ.
| CRM | Where WhatsApp leads land | Where conversations are logged |
|---|---|---|
| Zoho CRM | Leads module, converted to contacts and deals | Notes or activities on the lead or contact |
| HubSpot | Contacts with lifecycle stage set | Timeline activities or communications on the contact |
| Salesforce | Leads, converted to contacts and opportunities | Tasks or a custom conversation object |
| Custom CRM | Whatever your data model defines | A conversation table linked to the customer |
We confirm the exact objects and API limits for your edition and plan during discovery.
How does an engagement work?
Five phases, each with a clear output you can review before the next one starts.
- 1
Discovery
We review your CRM objects, ownership rules, WhatsApp volumes and what salespeople need to see.
- 2
Architecture & scope
You get the sync design: matching rules, routing, templates, consent handling and the Meta setup plan.
- 3
Build in milestones
Lead and contact sync first, then conversation logging, templates and workflow triggers.
- 4
Launch
Number registration or migration, template approval, salesperson training and monitored go-live.
- 5
Support & scale
New templates and flows, CRM changes, API updates and monitoring.
Which engagement model fits?
There are three ways to work with Co-Mate; the right one depends on how settled your scope is and how long the system will keep evolving.
| Model | Best for | How it works |
|---|---|---|
| Fixed-scope project | A defined first version or a specific integration with clear requirements. | We agree modules, milestones and acceptance criteria up front, then deliver against them. Changes are scoped and agreed before work starts. |
| Dedicated engineering team | Larger programmes, evolving roadmaps or several systems built in parallel. | Senior engineers work as an extension of your team on your priorities, with sprint planning, demos and shared tooling. |
| Ongoing retainer / support | Systems already live that need maintenance, monitoring, hosting support and steady improvements. | A reserved block of engineering time each month, with agreed response times for issues and a backlog of improvements. |
This is typically a fixed-scope project, followed by a small retainer to keep templates, flows and API versions current.
Which CRMs and tools are supported?
Any CRM with an API. For the wider WhatsApp setup, see WhatsApp business automation; for a CRM built around WhatsApp, see custom CRM development.

Tech & monitoring
Webhooks
Incoming messages processed in real time through WhatsApp webhooks, queued so none are lost.
Matching
Phone numbers normalised to international format before matching, to avoid duplicates.
API limits
CRM rate limits respected with batching and back-off, so syncing never blocks users.
Monitoring
Alerts on failed syncs, template rejections and webhook delivery problems.
Where do we work?
Anywhere. Co-Mate is a remote-first engineering studio in Kerala, India, delivering for businesses worldwide.
GCC
Our working day covers the whole GCC business morning and early afternoon.
Europe & UK
Strong overlap with European and UK working hours for calls, reviews and releases.
US & Americas
Scheduled overlap with US mornings for workshops, demos and decision meetings.
India, APAC & Australia
Same or near time zone, so day-to-day collaboration is simple.
Discovery workshops, demos and training run online. You talk directly to the senior engineers who design and build your system, not to an account manager relaying messages.
