CRM & ERP Integration

Won deals become orders automatically, quotes use live prices and stock, and salespeople see invoices and balances without logging into the ERP.

What does CRM and ERP integration do?

CRM and ERP integration links your sales system with your operations and finance system, so customers, products and prices flow to the CRM, won quotes become orders in the ERP automatically, and invoice, delivery and balance information flows back to salespeople. Each record has one owner, and every sync is logged and monitored.

This integration is part of Co-Mate's system integration services. It closes the gap between the team that sells and the teams that deliver and bill.

Who this is for

Who needs CRM and ERP integration?

Companies where sales and operations work in different systems and the hand-over between them is manual.

Typical buyers

  • Sales operations and RevOps leads
  • ERP and IT managers
  • Finance heads chasing unbilled or mis-billed orders

Signs you need it

  • Won deals are re-entered as sales orders in the ERP.
  • Salespeople quote with outdated prices or promise stock that is not available.
  • Sales cannot see whether a customer has paid or is on credit hold.
  • Customer records differ between CRM and ERP.

What we build

Which data flows between CRM and ERP?

A typical set of flows; we adjust direction and ownership to your process.

DataDirection and behaviour
Customers / accountsCRM → ERP on first order; ERP → CRM for credit terms, tax data and status afterwards.
Products & pricesERP → CRM. Catalogue and price lists, so quotes use current prices.
Stock availabilityERP → CRM. Read on demand when building a quote.
Quotes → ordersCRM → ERP. Accepted quotes create sales orders with lines, discounts and terms.
Order & delivery statusERP → CRM. Status, delivery dates and tracking on the deal or account.
Invoices & balancesERP → CRM. Invoices, payments and outstanding balance visible to sales.

What usually goes wrong between CRM and ERP?

Ownership confusion and identity drift cause most failures.

  • Two masters: both systems let users edit the same customer fields, and the last sync silently overwrites a correct value. Field-level ownership fixes it.
  • Premature accounts: every CRM lead becomes an ERP customer, cluttering finance. Accounts are created in the ERP only on the first order.
  • Stale prices: quotes use a price list copied months ago. Prices sync from the ERP, and quotes check validity before conversion.
  • Unit and tax differences: CRM products lack the units, tax codes or warehouses the ERP needs. Mapping fills them in or blocks conversion with a clear message.

What does a quote-to-cash flow look like when integrated?

  1. A salesperson builds a quote in the CRM with current ERP prices and live stock.
  2. The customer accepts; the deal is marked won.
  3. The integration creates the customer in the ERP if new, then a sales order with the quote's lines and terms.
  4. Operations fulfils the order in the ERP; delivery status appears on the CRM deal.
  5. The ERP issues the invoice (and e-invoice where required); invoice and payment status flow back to the CRM.

Each step is logged, so finance and sales can trace any order from first quote to final payment.

How does an engagement work?

Five phases, each with a clear output you can review before the next one starts.

  1. 1

    Discovery

We map how a deal becomes an order, invoice and payment today, and who owns each piece of data.

  2. 2

    Architecture & scope

You get field-level ownership, mappings, sync triggers, conflict rules and the monitoring plan.

  3. 3

    Build in milestones

Customers and products first, then quote-to-order, then status, invoices and balances.

  4. 4

    Launch

Data clean-up and cross-referencing, go-live per flow and sales team training.

  5. 5

    Support & scale

Changes as your process evolves, API updates and monitoring.

Which engagement model fits?

There are three ways to work with Co-Mate; the right one depends on how settled your scope is and how long the system will keep evolving.

ModelBest forHow it works
Fixed-scope projectA defined first version or a specific integration with clear requirements. We agree modules, milestones and acceptance criteria up front, then deliver against them. Changes are scoped and agreed before work starts.
Dedicated engineering teamLarger programmes, evolving roadmaps or several systems built in parallel.Senior engineers work as an extension of your team on your priorities, with sprint planning, demos and shared tooling.
Ongoing retainer / supportSystems already live that need maintenance, monitoring, hosting support and steady improvements.A reserved block of engineering time each month, with agreed response times for issues and a backlog of improvements.

CRM–ERP integration fits a fixed-scope project per flow group, with a retainer afterwards for process changes and API updates.

Which systems do we connect?

Most combinations of CRM and ERP with APIs. If you are choosing a new CRM, see CRM development; for ERP, see ERP development.

Tech & monitoring

Cross-reference

A mapping table links each CRM record to its ERP counterpart, so identities never drift.

Conflict rules

Field-level ownership decides which change wins, and overrides are logged.

Reliability

Queued, idempotent processing so an order is created exactly once.

Monitoring

A sync dashboard and alerts for failed records, with one-click replay after correction.

Where do we work?

Anywhere. Co-Mate is a remote-first engineering studio in Kerala, India, delivering for businesses worldwide.

  • GCC

Our working day covers the whole GCC business morning and early afternoon.

  • Europe & UK

Strong overlap with European and UK working hours for calls, reviews and releases.

  • US & Americas

Scheduled overlap with US mornings for workshops, demos and decision meetings.

  • India, APAC & Australia

Same or near time zone, so day-to-day collaboration is simple.

Discovery workshops, demos and training run online. You talk directly to the senior engineers who design and build your system, not to an account manager relaying messages.
