Accounting Software Integration (Tally, QuickBooks, Xero, Zoho Books)

Invoices, bills, payments and payroll journals posted automatically into Tally, QuickBooks, Xero or Zoho Books, with validation and a reconciliation report finance trusts.

What does accounting software integration do?

Accounting software integration connects your operational systems, such as a CRM, custom ERP, e-commerce store, HRMS or billing tool, to Tally, QuickBooks, Xero or Zoho Books, so invoices, bills, payments and payroll journals are posted automatically with the right accounts and taxes, and finance reconciles instead of re-typing.

This integration is part of Co-Mate's system integration services. It lets you keep the accounting package your finance team knows, while the rest of the business runs on systems built for operations.

Who this is for

Who needs accounting integration?

Companies whose sales, purchasing or HR happen in one system while the books are kept in another.

Typical buyers

  • CFOs and finance controllers
  • Accountants and bookkeeping teams
  • Founders of growing companies keeping a familiar accounting package

Signs you need it

  • Invoices from your sales system are re-entered into the accounting package.
  • Payments are matched to invoices by hand at month end.
  • Payroll figures are typed in as journals from a spreadsheet.
  • Your auditors find differences between operational reports and the ledger.

What we build

Which documents flow to the accounting system?

The operational system usually originates documents; the accounting package owns the ledger.

DataDirection and behaviour
Customers & suppliersSource → accounting. Created or updated with tax IDs, terms and currencies.
Sales invoices & credit notesSource → accounting. Posted with items or income accounts, taxes and cost centres.
Purchase billsSource → accounting. Supplier invoices from purchasing or AI document extraction, posted for approval.
Payments & receiptsTwo-way. Gateway or bank payments matched to invoices; payment status returned to the source system.
Payroll journalsHRMS → accounting. Salary, overtime and deduction totals posted by department or cost centre.
Balances & statusAccounting → source. Outstanding balances and credit status shown in CRM or ERP.

What usually goes wrong with accounting integrations?

Accounting integrations fail on mapping and edge cases far more than on connectivity.

  • Tax mismatches: the source system calculates tax differently from the ledger. Tax codes are mapped explicitly and totals compared on every document.
  • Party duplicates: one customer exists under three names. Matching uses tax IDs and codes, not names.
  • Rounding: line-level and document-level rounding produce small differences that add up. Rounding rules are agreed and tested.
  • Closed periods: documents are posted into a period finance has already closed. The integration respects period locks and routes these to review.
  • Desktop dependency: Tally runs on one office machine that is switched off at night. A local connector queues work and catches up.

How do the packages differ for integration?

PackageAccessWatch out for
TallyXML over HTTP, ODBCRuns on-premise; needs a local connector and stable company/ledger names.
QuickBooks OnlineREST API with OAuthToken refresh, rate limits and regional editions.
XeroREST API with OAuthDaily and per-minute call limits; batching needed at volume.
Zoho BooksREST API with OAuthPlan-based API limits; organisation IDs per entity.

How does an engagement work?

Five phases, each with a clear output you can review before the next one starts.

  1. 1

    Discovery

We review your chart of accounts, tax codes, cost centres and the systems that create financial documents.

  2. 2

    Architecture & scope

You get mapping tables, posting rules, the access method per package, exception handling and a reconciliation approach.

  3. 3

    Build in milestones

Masters first, then invoices, bills, payments and journals, each reconciled against a test period.

  4. 4

    Launch

Go-live from an agreed period start, with finance reviewing exceptions daily in the first weeks.

  5. 5

    Support & scale

Mapping updates for new accounts and taxes, package version changes and monitoring.

Which engagement model fits?

There are three ways to work with Co-Mate; the right one depends on how settled your scope is and how long the system will keep evolving.

ModelBest forHow it works
Fixed-scope projectA defined first version or a specific integration with clear requirements. We agree modules, milestones and acceptance criteria up front, then deliver against them. Changes are scoped and agreed before work starts.
Dedicated engineering teamLarger programmes, evolving roadmaps or several systems built in parallel.Senior engineers work as an extension of your team on your priorities, with sprint planning, demos and shared tooling.
Ongoing retainer / supportSystems already live that need maintenance, monitoring, hosting support and steady improvements.A reserved block of engineering time each month, with agreed response times for issues and a backlog of improvements.

Accounting integration is usually a fixed-scope project. Finance teams often keep a light retainer for mapping changes at year end or when tax rules change.

Which accounting packages do we connect?

The four below are the most common; other packages with an API or import interface can be connected too. For broader ERP needs see ERP development.

  • Tally (TallyPrime, Tally.ERP 9)
  • QuickBooks Online
  • Xero
  • Zoho Books
  • Sage
  • Payment gateways
  • Bank statement feeds
  • E-invoicing providers

Product names are used only to describe compatibility. They belong to their owners; Co-Mate is not affiliated with or endorsed by them.

Tech & monitoring

Access methods

Cloud REST APIs for QuickBooks, Xero and Zoho Books; XML/ODBC with a local connector for Tally.

Validation

Account, tax and party checks before posting; failures are held, not forced.

Reconciliation

Daily totals compared between source and ledger, with a report finance can sign off.

Audit trail

Every posted document links back to its source record and sync log.

Where do we work?

Anywhere. Co-Mate is a remote-first engineering studio in Kerala, India, delivering for businesses worldwide.

  • GCC

Our working day covers the whole GCC business morning and early afternoon.

  • Europe & UK

Strong overlap with European and UK working hours for calls, reviews and releases.

  • US & Americas

Scheduled overlap with US mornings for workshops, demos and decision meetings.

  • India, APAC & Australia

Same or near time zone, so day-to-day collaboration is simple.

Discovery workshops, demos and training run online. You talk directly to the senior engineers who design and build your system, not to an account manager relaying messages.
