HRMS & Workforce Software Development
Attendance from biometric devices and phones, shifts, leave, payroll inputs, rostering and automatic site allocation, built for multi-location and deployed teams.
What HRMS and workforce software does Co-Mate build?
Co-Mate builds HRMS and workforce management software for companies with shift-based, multi-location or deployed teams: employee records, biometric and GPS attendance, shifts and rostering, leave, payroll inputs and automatic site allocation. We connect existing eSSL or ZKTeco devices and your payroll or accounting software, so attendance turns into payroll-ready data without manual work.

HRMS and workforce software is part of Co-Mate's digital transformation services. We focus on the operational side of HR: getting accurate attendance and deployment data from the ground into payroll and management reports.
Who this is for
Who is custom HRMS software for?
Companies where people work in shifts, at many sites or at client locations, and generic HR software does not understand how the workforce is actually deployed.
Typical buyers
- HR and operations heads in facility management, security, manpower and logistics
- COOs of multi-location retail, healthcare and hospitality groups
- Finance teams preparing payroll from attendance data
- Owners of co-working, co-learning and membership spaces tracking attendance
Signs you need it
- Biometric devices record punches, but someone still exports and cleans them in Excel each month.
- Supervisors build rosters in spreadsheets and staff learn their site by phone call.
- Overtime and late marks are disputed because nobody trusts the source data.
- Leave approvals happen on WhatsApp and never reach payroll.
- Your HR software works for office staff, but not for field or site-based teams.
What we build
Which HRMS and workforce modules do we build?
Start with attendance, the foundation everything else depends on, then add the modules your workforce model needs.
| Module | What it does |
|---|---|
| Employee records | Profiles, documents, contracts, visa and ID expiry alerts, and organisation structure by company, branch and site. |
| Biometric attendance | Automatic import from eSSL, ZKTeco and similar devices across all locations, with device health monitoring. |
| GPS & mobile attendance | Geo-fenced check-in from phones for field and site staff, with selfie or QR verification where needed. |
| Shifts & rostering | Shift patterns, rotations, weekly offs, swaps and coverage rules, published to staff automatically. |
| Site allocation | Rules-based planning of people to sites or jobs by skill, availability, contract and distance. |
| Leave & approvals | Leave types, balances, accruals, approval chains and holiday calendars per country or site. |
| Payroll inputs | Worked days, overtime, late marks, allowances and deductions, exported or synced to payroll and accounting. |
| Self-service & reports | Staff see schedules, attendance and leave on their phones; managers get headcount, cost and compliance reports. |
How does attendance become payroll-ready data?
Raw punches are turned into payroll inputs by a rules engine that knows each employee's shift, site and policy.
- Capture: punches arrive from biometric devices, mobile GPS check-ins or QR scans.
- Match: each punch is matched to the employee's scheduled shift, including night shifts that cross midnight.
- Apply rules: grace periods, late marks, early exits, overtime thresholds, weekly offs and holidays.
- Review: supervisors see exceptions such as missing punches and approve corrections, with every change logged.
- Export: at period end, approved figures flow to payroll or accounting in the format it expects.
The result is one trusted attendance record, fewer disputes and a payroll close that no longer depends on a spreadsheet.
What is automatic site allocation?
Automatic site allocation is software that assigns staff to work sites, shifts or jobs based on rules: required skills and certifications, availability, leave, contract limits, travel distance and client requirements. Supervisors review and adjust the plan instead of building it from scratch.
We built this for a services company that deploys staff across many client sites; the workforce-to-site allocation case study describes how it replaced manual rostering. For smaller spaces with one location, the same attendance foundation applies, as in our co-learning space biometric attendance project.
How does an engagement work?
Five phases, each with a clear output you can review before the next one starts.
- 1
Discovery
We map your workforce model: sites, shifts, devices, approval rules and how payroll is prepared today.
- 2
Architecture & scope
You get the data model, device integration plan, rules engine design, mobile flows and a module scope.
- 3
Build in milestones
Attendance and records go live first, then rostering, leave and payroll inputs in milestones.
- 4
Launch
Devices connected site by site, employee data migrated, and supervisors trained on the mobile flows.
- 5
Support & scale
Rule changes, new sites and devices, payroll-period support, monitoring and hosting.
Which engagement model fits?
There are three ways to work with Co-Mate; the right one depends on how settled your scope is and how long the system will keep evolving.
| Model | Best for | How it works |
|---|---|---|
| Fixed-scope project | A defined first version or a specific integration with clear requirements. | We agree modules, milestones and acceptance criteria up front, then deliver against them. Changes are scoped and agreed before work starts. |
| Dedicated engineering team | Larger programmes, evolving roadmaps or several systems built in parallel. | Senior engineers work as an extension of your team on your priorities, with sprint planning, demos and shared tooling. |
| Ongoing retainer / support | Systems already live that need maintenance, monitoring, hosting support and steady improvements. | A reserved block of engineering time each month, with agreed response times for issues and a backlog of improvements. |
HRMS work is typically a fixed-scope project for attendance and core records, followed by a retainer that keeps rules, sites and devices up to date as the workforce changes.
What does the HRMS connect to?
Workforce data flows from devices to HR and on to payroll and finance. Device-specific work is covered in biometric attendance integration.
- eSSL biometric devices
- ZKTeco biometric devices
- Face and card readers
- Payroll software
- Tally
- QuickBooks
- Xero
- Zoho Books
- ERP (Odoo, ERPNext, SAP B1)
- Microsoft 365 and Google Workspace
- WhatsApp Business Platform
- Power BI

Tech & infrastructure
Cloud or on-premise
Cloud hosting with secure device connectivity, or on-premise where devices sit on a closed network.
Privacy & security
Role and location permissions, restricted salary fields, audit logs and encrypted backups.
Reliable device sync
Queued, retried imports so a device going offline never loses punches.
Ownership & scale
Your code and data, built to add sites, devices and thousands of employees without a rebuild.
Where do we work?
Anywhere. Co-Mate is a remote-first engineering studio in Kerala, India, delivering for businesses worldwide.
GCC
Our working day covers the whole GCC business morning and early afternoon.
Europe & UK
Strong overlap with European and UK working hours for calls, reviews and releases.
US & Americas
Scheduled overlap with US mornings for workshops, demos and decision meetings.
India, APAC & Australia
Same or near time zone, so day-to-day collaboration is simple.
Discovery workshops, demos and training run online. You talk directly to the senior engineers who design and build your system, not to an account manager relaying messages.
