Most companies that ask “Power BI or custom?” are really asking two questions: who will use the dashboards, and where does the data come from. This guide answers both and helps you choose, or combine, the right approach. For the engineering side, see our dashboards and BI service.
What is the short answer?
Power BI is the better choice for internal analysis by people who want to explore, filter and build their own reports. Custom dashboards are the better choice for fixed, high-traffic views, for analytics inside your product or customer portal, and where the experience must match your application. In both cases, a reliable data layer underneath is what makes the numbers trustworthy.
How do they compare?
| Factor | Power BI | Custom dashboards |
|---|---|---|
| Best for | Internal analysts and managers exploring data | Fixed management views, operational screens, customer-facing analytics |
| Self-service | Strong: users build and change reports | Limited to the filters and views designed |
| Speed for many users | Good with proper modelling | Very fast with pre-aggregated data |
| Embedding in your product | Possible with embedding licences | Native |
| Design control | Within Power BI’s visuals | Complete |
| Access control | Row-level security in Power BI | Uses your application’s own roles |
| Licensing | Per user or capacity licences | No BI licence; hosting and support |
| Who maintains it | BI analyst or partner | Engineering team |
When is Power BI the right choice?
Power BI is the right choice when the main users are inside your organisation, comfortable with Microsoft tools, and need to ask new questions regularly. Finance analysts building variance reports, operations managers slicing data by region, and leaders reviewing a monthly pack all benefit from its flexibility.
It works best when someone owns the data model and KPI definitions, so self-service does not produce five versions of “revenue”.
When are custom dashboards the right choice?
Custom dashboards are the right choice when the dashboards are a product, not a tool:
- Customer-facing analytics inside your portal or SaaS product, where each customer sees only their data.
- Operational screens used all day by many staff, such as dispatch boards or branch performance screens, where speed matters.
- Fixed management views that should look the same every time and load instantly.
- Tight integration with your application’s roles, navigation and design.
What matters more than the tool?
The data layer matters more than the tool. Slow, inconsistent dashboards are almost always caused by what sits beneath them:
- Sources: ERP, CRM, spreadsheets and APIs extracted reliably, ideally incrementally.
- Reporting store: a separate database designed for analysis, so reports never slow down live systems.
- KPI definitions: agreed and written down with the owner of each metric.
- Reconciliation: dashboard figures checked against source totals, especially after migrations.
Get these right and either Power BI or custom dashboards will perform. Get them wrong and neither will. Connecting the sources is covered in system integration.
How do the costs differ?
Power BI’s costs are mainly licences (per user or capacity), data modelling and report building, and the data layer. Custom dashboards’ costs are design and build, the data layer, hosting and support, with no BI licence. Both depend on the number of sources, KPIs, refresh frequency, users, security rules, hosting and support, so compare on the same scope.
Can AI replace dashboards?
Not entirely, but it is changing them. Natural-language questions such as “which branches missed target last month?” can be answered from a well-modelled reporting store, complementing fixed dashboards. See how to add AI to your existing software for how “ask your data” works safely.
Questions to ask before you start
- Who will use the dashboards: analysts, managers, frontline staff or customers?
- Do users need to build their own reports, or use fixed views?
- Which systems hold the data, and how clean is it?
- Are KPI definitions agreed across departments?
- How fresh must the data be: daily, hourly, near real time?
- Who should see which data, and how are roles managed today?
- Do we already have Microsoft licences that include Power BI?
- Who will maintain the data model and dashboards?
