Integration · ERP ↔ e-commerce
ERP & E-commerce Integration (Shopify, WooCommerce ↔ Odoo, SAP B1, Zoho)
Products, prices and stock from your ERP to Shopify or WooCommerce; orders, payments and refunds back into the ERP. No re-typing, no overselling.
What does ERP and e-commerce integration do?
ERP and e-commerce integration connects an online store such as Shopify or WooCommerce to an ERP such as Odoo, SAP Business One or Zoho, so products, prices and stock flow from the ERP to the store, and orders, payments and refunds flow back for fulfilment and accounting, without anyone re-typing them.
Last updated:
This integration is part of Co-Mate's system integration services. It treats the ERP as the master for products and stock, and the store as the source of orders.
Who this is for
Who needs their store connected to the ERP?
Brands, retailers and distributors selling online and offline from the same stock.
Typical buyers
- E-commerce managers
- Operations and warehouse heads
- Finance teams reconciling online sales
Signs you need it
- Online orders are re-entered into the ERP by hand every morning.
- Customers buy items the warehouse no longer has.
- Prices and product details differ between the website and the ERP.
- Refunds and returns never reach accounting correctly.
What we build
Which data flows between the store and the ERP?
Each flow has one owner system and a clear direction.
| Data | Direction and behaviour |
|---|---|
| Products & variants | ERP → store. SKUs, variants, descriptions and attributes, with the ERP as master. |
| Prices | ERP → store. Price lists per store, currency or customer group, including scheduled promotions. |
| Stock levels | ERP → store. Available quantity per warehouse, optionally less a safety buffer. |
| Orders | Store → ERP. Sales orders with customer, lines, discounts, shipping and taxes. |
| Payments | Store → ERP. Payment gateway transactions matched to orders for reconciliation. |
| Fulfilment & tracking | ERP → store. Shipment status and tracking numbers sent back to the customer. |
| Returns & refunds | Store → ERP. Credit notes and stock returns posted correctly. |
What usually goes wrong between stores and ERPs?
The common failures are overselling, duplicates and reconciliation gaps, and each has a known engineering fix.
- Overselling: stock updates run every few hours, so the store sells what the warehouse already shipped. Event-driven updates and safety buffers fix it.
- Variant mismatches: the store's colour/size variants do not map one-to-one to ERP items. We build an explicit SKU map and flag unmapped items.
- Duplicate orders: webhooks are retried and orders imported twice. Idempotent import keyed on the store order ID prevents it.
- Tax and discount differences: totals differ by small amounts due to rounding or discount allocation. Mappings are tested on real orders before go-live.
- Refunds lost: partial refunds and returns are not posted, so finance cannot reconcile. Refund flows are first-class, not an afterthought.
How do the ERP options differ?
| ERP | How we connect | Typical considerations |
|---|---|---|
| Odoo | External API (XML-RPC/JSON-RPC) | Flexible; custom modules may need mapping of extra fields. |
| SAP Business One | Service Layer (REST) or DI API | Strict document flow (order, delivery, invoice); partner add-ons may also need mapping. |
| Zoho Inventory / Books | Zoho REST APIs | API call limits per plan; batching matters at volume. |
| Custom ERP | Its API, or one we build over the database | Depends on data quality and existing interfaces. |
How does an engagement work?
Five phases, each with a clear output you can review before the next one starts.
- 1
Discovery
We review your catalogue structure, warehouses, order process, taxes and how finance reconciles online sales.
- 2
Architecture & scope
You get mappings for products, customers, taxes and payment methods, sync frequencies and the error strategy.
- 3
Build in milestones
Products and stock first, then orders, payments, fulfilment and refunds, each tested with real samples.
- 4
Launch
Initial catalogue alignment, go-live per flow and close monitoring through the first busy period.
- 5
Support & scale
New stores and channels, platform API updates, and monitoring.
Which engagement model fits?
There are three ways to work with Co-Mate; the right one depends on how settled your scope is and how long the system will keep evolving.
| Model | Best for | How it works |
|---|---|---|
| Fixed-scope project | A defined first version or a specific integration with clear requirements. | We agree modules, milestones and acceptance criteria up front, then deliver against them. Changes are scoped and agreed before work starts. |
| Dedicated engineering team | Larger programmes, evolving roadmaps or several systems built in parallel. | Senior engineers work as an extension of your team on your priorities, with sprint planning, demos and shared tooling. |
| Ongoing retainer / support | Systems already live that need maintenance, monitoring, hosting support and steady improvements. | A reserved block of engineering time each month, with agreed response times for issues and a backlog of improvements. |
Store-to-ERP integration is usually a fixed-scope project. Because e-commerce platforms update their APIs regularly, a monitoring retainer keeps the connection healthy.
Which platforms do we connect?
Common combinations are below; other platforms with an API can be connected too. For broader ERP work see ERP development.
- Shopify
- WooCommerce
- Odoo
- SAP Business One
- Zoho Inventory
- Zoho Books
- ERPNext
- Custom ERPs
- Payment gateways
- Courier and logistics APIs
- Marketplaces with APIs

Tech & monitoring
Events first
Store webhooks and ERP change tracking for near-real-time updates, with scheduled sync as a safety net.
Exactly once
Idempotent order import, so a retried webhook never creates a duplicate order.
Reconciliation
Daily comparison of order counts and totals between store, gateway and ERP.
Alerts
Notifications on failed orders, negative stock and mapping errors, with a replay screen.
Where do we work?
Anywhere. Co-Mate is a remote-first engineering studio in Kerala, India, delivering for businesses worldwide.
GCC
Our working day covers the whole GCC business morning and early afternoon.
Europe & UK
Strong overlap with European and UK working hours for calls, reviews and releases.
US & Americas
Scheduled overlap with US mornings for workshops, demos and decision meetings.
India, APAC & Australia
Same or near time zone, so day-to-day collaboration is simple.
Discovery workshops, demos and training run online. You talk directly to the senior engineers who design and build your system, not to an account manager relaying messages.
